The PTSA simply cannot operate or be successful without volunteers. Every effort matters and is appreciated, but those who fulfill these essential roles are the heart of our organization,
Below you'll find descriptions for each elected officer position, including what the role involves and roughly how much time to expect. Nominations will occur in April/May of the given school year. Elections are held in June at the last general membership meeting.
All board members attend:
One monthly board meeting (usually over Zoom, ~1 hour)
One online training in the summer (required by WSPTA)
One in-person meeting in the summer
Four general membership meetings throughout the year (September, January, April, and June)
Note: Any position can be held as a co-position (two people sharing one role). Each co-volunteer gets a full vote at board meetings.

The President leads the board and serves as the primary point of contact between the PTSA, school administration, and the community. You set the tone for the year and keep everything moving.
Responsibilities
Run monthly board meetings and general membership meetings
Serve as the main liaison with school administration
Oversee all committees and board members
Sign off on contracts and financial decisions alongside the Treasurer
Represent the PTSA at district and council events as needed
Ensure the board is on track with annual goals and timelines
Great fit if you are... organized, communicative, and comfortable leading a group. You don't have to do everything — you just have to make sure everything gets done.

The VP supports the President and steps in when needed. This role is a great way to stay closely involved in the big picture without carrying the full weight of the Presidency.
Responsibilities
Support the President across all initiatives
Step in to run meetings or represent the PTSA when the President is unavailable
Help oversee committees and follow up on action items
Assist with planning and coordination for major events and meetings
Help identify and recruit volunteers and committee leads
Great fit if you... want to be deeply involved and may be interested in the President role down the road. Reliable, collaborative, and a good communicator.

👥 Co-position allowed: Yes - Highly Recommended
The Treasurer manages the PTSA's finances and ensures we stay compliant with WSPTA and IRS requirements. This is one of the most important roles on the board.
Responsibilities
Manage the PTSA bank account and maintain accurate financial records
Pay approved expenses and process reimbursements
Prepare and present a financial report at each board and membership meeting
Lead the annual budget process
File required tax and state compliance documents
Work closely with the President on any financial decisions
Great fit if you are... comfortable with numbers and spreadsheets. Prior bookkeeping or financial experience is a plus, but not required. Free training is available through WSPTA.

The Secretary keeps the PTSA running smoothly behind the scenes by handling meeting minutes, records, and official communications.
Responsibilities
Take and distribute minutes for all board and general membership meetings
Maintain official PTSA records and documentation
Send meeting notices to members at least 10 days in advance
Keep track of attendance and quorum at meetings
Assist with correspondence as needed
Great fit if you are... detail-oriented and dependable. You don't need to attend many extra events — just show up to meetings and keep things organized.
Below you’ll find descriptions for each committee position, including what the role involves and roughly how much time to expect. Committee chairs are recruited on a rolling basis throughout the year. There is no formal nomination or election process required.
All committee chairs:
Report to their board liaison and provide occasional updates on progress
Attend general membership meetings when possible (not required)
Attend monthly board meetings when relevant (not required)
Manage their own budget line item, submitted for board approval

Fundraising Committee Chair leads our efforts to bring in the resources that make PTSA programs possible. This role has a lot of room for creativity and community connection.
Responsibilities
Plan and execute fundraising campaigns throughout the year
Coordinate parent sign-ups for sports meets and school events
Manage Give Back programs and donation drives
Pursue sponsorships and donations from local businesses
Work with the Treasurer to track fundraising income
Brainstorm new fundraising ideas and bring them to the board
Great fit if you are... energetic, creative, and not afraid to ask for support. If you love building community and thinking outside the box, this is a great fit.

The Community & Events Chair plans and runs the family and community events that make our school feel like home.
Responsibilities
Plan and coordinate family and community events throughout the year (e.g., Trivia Night, Makers Market, community socials)
Manage event logistics including venue, volunteers, and promotion
Work with the VP of Fundraising when events have a fundraising component
Connect with ASB, Music Boosters, and other school groups to align on events
Recruit and coordinate event volunteers
Great fit if you are... a people person who loves bringing a community together. If you enjoy planning and get energy from running a great event, this one's for you.

The Staff Appreciation Chairs make our staff feel genuinely seen and celebrated — coordinating these events is one of the most beloved PTSA traditions of the year and truly cherished by the CKMS staff.
Responsibilities
Plan and execute Staff Appreciation Week each May (themed days, food, gifts, and decor)
Coordinate monthly staff appreciation touchpoints throughout the year (breakfasts, treats, seasonal surprises, etc.)
Organize Supply Stock-up events to keep classrooms stocked with the essentials teachers actually need
Coordinate with board members and volunteers to source donations, manage logistics, and set up events
Communicate with staff and admin to understand needs and preferences
Manage budget for appreciation activities throughout the year
Great fit if you are... Someone who loves making people feel special and can juggle a few moving parts without breaking a sweat. Event planning experience is a bonus, but a warm heart and solid follow-through matter most. Co-chairing this role is highly encouraged!

👥 Co-position allowed: Yes - Highly Encouraged
This is a Semester 2 role, best suited for a 6th or 7th grade parent, so 8th grade families can fully be present to celebrate their own kids.
The 8th Grade Celebration Chairs plan the party immediately following the 8th grade commencement ceremony. Think games, music, and treats.
Responsibilities
Plan and execute the post-commencement celebration (e.g. bingo night, games, music, snacks)
Coordinate timing and logistics with school admin so the party flows smoothly right after the ceremony
Source donations, prizes, decor, and supplies with help from board members and volunteers
Recruit and coordinate volunteers for setup, running activities, and cleanup
Communicate with 8th grade families about event details
Manage budget for the celebration
Great fit if you are… Someone who loves creating a fun, memorable event and would rather a single project over an ongoing time-committment. Event planning experience is a bonus, but organization and enthusiasm matter most. Co-chairing this role is highly encouraged due to the logistics required. The PTSA board will happily aid in procuring volunteers for set-up and take-down.

This is a new role for 26-27! The Social Media & Communications Chair keeps our community informed and our PTSA visible to our members.
Responsibilities
Manage the PTSA Instagram and any other social platforms
Create and schedule regular posts to keep the community engaged
Coordinate with board members to promote events and announcements
Help develop communication strategies for reaching parents
Work with admin to explore parent communication channels (e.g., school newsletter)
Great fit if you are... someone comfortable on social media who has a good eye for content. Design experience is a bonus but not required. Consistency matters more than perfection.
